Information on the processing of personal data of pilots participating in the Hike & Fly competition Pursuant to Regulation (EU) 2016/679 – GDPR and Legislative Decree 196/2003 and subsequent amendments

2. Interested Parties

This information is intended for pilots participating in the Hike & Fly competition organized by the Paragliding Club Malcesine ASD.

3. Personal data processed

To manage participation in the race, the following may be processed:

  • name and surname;
  • contact information, such as telephone number and email address;
  • residence information;
  • data relating to flying licence and qualifications;
  • data relating to sports membership;
  • data relating to insurance coverage;
  • data necessary to manage participation in the competition;
  • any photographs and videos taken during the event.

The Association will process only the data relevant and necessary for the purposes of the event.

4. Purpose of processing

Personal data collected during the Hike & Fly race will be processed for:

  • management of registration and participation in the race; organization and management of the event; organizational communications with pilots;
  • verification of participation requirements;
  • management of membership and insurance coverage, where necessary;
  • management of relationships with sports bodies and any parties involved in organizing the event;
  • management of any organizational, safety, and emergency needs related to the race.

5. Use of data for future events

The contact information provided by the pilot, specifically name, surname, email address, and telephone number, may be used by the Paragliding Club Malcesine ASD to communicate information regarding future competitions, events, hike & fly initiatives, or other sporting activities organized by the Association.
This use will be carried out exclusively within the limits of applicable law.
The pilot may object to receiving such communications at any time or withdraw any consent given, without prejudice to participation in the competition already completed.

6. Photography and Video Recording

Photographs and video recordings of participants may be taken during the event.
The images may be used to document the event and, where legally permitted, to communicate the Association’s activities through:

  • the website;
  • the Association’s social media;
  • magazines and publications;
  • informational material relating to the event;
  • communication of future initiatives and events.

Any authorization to publish images for promotional purposes will be obtained through a specific declaration, separate from this information notice.

7. Legal basis

The processing of data required to manage participation in the race finds its legal basis in the fulfillment of obligations related to participation in the event, as well as any legal obligations and applicable sports regulations.
The use of contact information for communications regarding future events will be carried out on the legal basis applicable to the specific case and, where necessary, with the data subject’s prior consent.
Failure to consent to communications regarding future events will in no way affect participation in the race.

8. Nature of the provision

The provision of data required to manage the race is necessary to allow registration and participation in the event.
The provision of data for any communications regarding future events is optional.
Failure to consent to such communications will have no impact on participation in the race.

9. Data Recipients

The data may be communicated, to the extent necessary for the organization and conduct of the race, to:

  • competent sports and federal bodies;
  • event organizers and collaborators;
  • persons responsible for managing safety and assistance during the race; insurance companies, where necessary;
  • IT and management service providers;
  • professionals and consultants to the Association;
  • authorities or public bodies when required by law.

The data will not be used for third-party commercial purposes.

The data will be retained for the period necessary to manage the event and, subsequently, for the time necessary to fulfill legal obligations and
